Meeting Manager
Job Description
What You’ll do on a Typical Day :
- Complete project timeline, establish a workflow schedule with client and suppliers to facilitate timely and accurate handling
- Estimate global destination airfares for budgeting purposes.
- Collaborate with all travel desks to ensure compliance with the firm’s policies/ travel guidelines for all bookings.
- Act as a gatekeeper: to ensure adherence to firm policies
- Visa advisory
- Quarantine advisory
- Handle hotel group blocks.
- Hotel Sourcing and contracting
- Group transportation arrangements
- Coordinate air/ hotel bookings with the local service team
- Hotel housing management
- Handle OOP approval
- Problem solving
- Prepare risk reports
- Event logistic arrangements
- Group flight and accommodation data reporting
- Prepare event documents
- Complete post-event reconciliation, reporting, and debriefing
- Perform miscellaneous tasks as required
- Occasionally provide weekend support
What We’re looking for:
- 3-5 years meeting planning experience required.
- 4-year degree preferred.
- Ability to communicate effectively and authoritatively with all levels of management and clients.
- Ability to work accurately and timely – to meet deadlines.
- Ability to be flexible and handle change well.
- Advanced oral and written presentation skills required.
- Prior experience in business travel is preferred.
- A good team player working with the global team.
