We are looking for a professional and proactive Executive Secretary to support the senior management team in a leading real estate firm. The ideal candidate will be a female Arabic speaker with strong bilingual communication skills, excellent organizational abilities, and experience in administrative roles within the real estate sector.

 

Key Responsibilities

 

  • Manage and coordinate the executive’s calendar, meetings, and travel arrangements.
  • Draft, translate, and proofread correspondence, memos, and contracts in both Arabic and English.
  • Prepare and maintain confidential real estate documents such as tenancy agreements, sales contracts, and other files.
  • Liaise with clients, brokers, and legal representatives on behalf of senior management.
  • Organize and document real estate transactions, property records, and legal documents.
  • Schedule property site visits, meetings with clients, and inspections.
  • Assist in preparing presentations and reports related to property listings and project updates.
  • Maintain office filing systems (electronic and physical) with a focus on document confidentiality.
  • Handle incoming communications, prioritize issues, and escalate matters appropriately.

Qualifications and Skills

 

  • Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
  • 3–5 years of experience as an executive secretary, preferably in the real estate or property sector.
  • Fluent in Arabic and English (both written and spoken).
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiar with real estate documentation, terminology, and workflow.
  • Strong interpersonal skills, professional demeanor, and discretion.
  • Ability to handle pressure and multitask in a fast-paced environment.

 

 

Desired Skills and Experience

 

  • Minimum 5 years of experience in HR management.
  • Strong knowledge of labor laws and HR best practices.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to handle confidential information with integrity.
  • Proficiency in HR software and Microsoft Office Suite.
