Job Responsibilities: Project Documentation & Information Management: • Maintain a comprehensive document control system, including submittals, correspondences, and technical documents (manuals & workflows). • Streamline internal document flow by distributing project documents to teams (site & head office) and manage access through a centralized system. • Implement robust document filing procedures (physical & digital), ensuring efficient retrieval for engineers and clients. • Ensure document confidentiality and secure disposal of sensitive materials. Project Reporting & Communication: • Prepare clear and concise ad-hoc project reports and meeting minutes (MOM) for distribution to attendees. • Develop and implement internal controls to guarantee data accuracy and efficient information flow throughout the project lifecycle. • Foster effective communication by coordinating with engineering, procurement, and accounts departments to meet project needs. Project Administration & Closeout: • Compile and process project monthly interim payments, variations, & damage claims in collaboration with engineers. • Liaise with suppliers to ensure document accuracy & resolve any discrepancies. • Prepare comprehensive project closeout documentation, including T&C (Terms & Conditions), O&M manuals, QCR (Quality Control Report), snagging reports, operator training materials, and final handover documentation. • Contribute to project efficiency by creating reusable templates for future projects. • Manage project petty cash with accuracy and responsibility.
