We are looking for a professional and proactive Executive Secretary to support the senior management team in a leading real estate firm. The ideal candidate will be a female Arabic speaker with strong bilingual communication skills, excellent organizational abilities, and experience in administrative roles within the real estate sector.
Key Responsibilities
- Manage and coordinate the executive’s calendar, meetings, and travel arrangements.
- Draft, translate, and proofread correspondence, memos, and contracts in both Arabic and English.
- Prepare and maintain confidential real estate documents such as tenancy agreements, sales contracts, and other files.
- Liaise with clients, brokers, and legal representatives on behalf of senior management.
- Organize and document real estate transactions, property records, and legal documents.
- Schedule property site visits, meetings with clients, and inspections.
- Assist in preparing presentations and reports related to property listings and project updates.
- Maintain office filing systems (electronic and physical) with a focus on document confidentiality.
- Handle incoming communications, prioritize issues, and escalate matters appropriately.
Qualifications and Skills
- Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
- 3–5 years of experience as an executive secretary, preferably in the real estate or property sector.
- Fluent in Arabic and English (both written and spoken).
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiar with real estate documentation, terminology, and workflow.
- Strong interpersonal skills, professional demeanor, and discretion.
- Ability to handle pressure and multitask in a fast-paced environment.
Desired Skills and Experience
- Minimum 5 years of experience in HR management.
- Strong knowledge of labor laws and HR best practices.
- Excellent leadership, communication, and interpersonal skills.
- Ability to handle confidential information with integrity.
- Proficiency in HR software and Microsoft Office Suite.
